About the job

The Corporate Services team is looking for a part-time contract Office Administrator to support office operations for a 12-month assignment. This on-site position is based in our Toronto office during regular business hours Tuesdays, Wednesdays, and Thursdays. Our team provides exceptional customer service and support to employees and office visitors while maintaining Corporate Services procedures. 

 

As an Office Administrator, you will:

  • Greet, register, and assist visitors; provide excellent hospitality to guests and employees; take telephone messages/redirect calls.
  • Act as Corporate Services Division liaison working with staff and service providers while maintaining Corporate Services Division and Property Management policies and procedures.
  • Perform general office duties: Process mail, ship materials, order supplies and equipment; operate basic office/breakroom equipment, perform basic maintenance, arrange for repair; place/receive orders; distribute/stock office and breakroom supplies; inventory supplies, furniture, art, and equipment.
  • Input data into software applications, verify accuracy, produce reports.
  • Assist with the coordination of onsite meetings and events.
  • Maintain calendars and coordinate schedules; make appointments and assist with travel arrangements.
  • Help keep process documents up-to-date and maintain accurate filing systems.
  • Assist in performing specialized administrative duties related to the department assigned.

Required Qualifications

  • 4 years of experience of general office experience, preferably related to area of assignment. 
  • Associate degree in Secretarial Science, Business Administration, Administrative Office Technology, or related field.
  • An equivalent combination of related education, training, and experience may be considered in place of the above qualifications.
  • Excellent knowledge of office procedures.
  • Strong problem solving, writing, interpersonal, communication and organizational skills.
  • Working knowledge of Microsoft Office products.
  • Ability to lift/stock cases of paper and canned beverages.

Preferred Qualifications

  • Facility services, building operations, or hospitality experience.
